Welcome to Texas Children’s Employee Health Virtual Assistant

If you are new to our Employee Health virtual assistant, please click on the different categories below to review the different types of support available to our team members. Otherwise, you can proceed with clicking on the online portal at the bottom right of this webpage to begin.

Congratulations and welcome to Texas Children’s! We look forward to you joining our One Amazing Team.

Your onboarding process includes a health assessment, which consist of the following two components:

  1. Online Portal (located at the bottom right of this page)
    • To prepare for your on-site Health Assessment appointment (see below), we strongly encourage you to complete required forms and submit supporting documentation online
      • By sending your information digitally, Employee Health will be able to review in advance and expedite your on-site appointment
    • Our Employee Health digital assistant will guide you through the following:
      • Complete required Health Assessment forms online
      • Provide guidance on how you can submit required supporting medical documentation
      • Apply for a medical or religious exemption for required vaccines
      • Complete the Flu Consent (only if you plan to receive your flu vaccine at your on-site Texas Children’s health assessment appointment)

  2. On-site Employee Health assessment appointment at Texas Children’s (or an approved facility)
    • This typically occurs on the same day of your new hire onboarding appointment, after you have met with Talent Acquisition
    • Please refer to your onboarding email for details, including information on how you can prepare and what to expect on the day of your appointment
    • Reminder on what to bring to your on-site appointment
      • REQUIRED - Identity and Employment Authorization documentation.
        • These must be original, valid documents and cannot be expired, photocopied or a photo on your phone.
        • Pease be prepared to present:
      • Any eyeglasses, readers or contact lenses
      • A bottle of water to hydrate before your health assessment and drug screen
      • If you choose not to complete and submit your required health information and supporting documents online, you will also need to present the following:
        • Prescription medications (in the original prescription bottles) that you have taken in the last 30 days
        • Your immunization records. Please note, if you are unable to obtain copies of your immunization records, you will be required to have your labs drawn, which can greatly extend the time of your appointment (see additional details on vaccination requirements below).
        • Copies of communicable disease immune status lab reports, if available (blood titers for Hepatitis B, Measles, Mumps, Rubella, Varicella)
        • Proof of two TB Skin Tests or QuantiFeron Gold/T Spot test results within the past 12 months, if available
        • Proof of positive TB test and chest x-ray (only needed if you had a previous positive TB result)
  3. Need Help or Have Questions?

All Texas Children’s team members such as full-time, part-time and per diem employees, medical staff, contractors, on-site vendors and volunteers are required to receive the flu vaccine.

Deadline

The deadline to meet this requirement, and have proof of your flu shot verified by Employee Health, is 5 p.m., Nov. 1, 2023.

All team members are encouraged to receive their flu vaccine as quickly as possible to ensure the most robust level of protection and to allow enough time for verification, which can take up to 72 hours to process. 

Where can I receive the flu shot?

  1. Texas Children’s Onsite Flu Events 
    To receive your flu shot onsite at Texas Children’s, please check this schedule (en español) of events for the locations and times most convenient to you.

    You are also required to complete a consent form. Please see the Flu Consent Form section below for additional details.

  2. Private Appointments with Employee Health  
    You can schedule an appointment to receive your flu shot with Employee Health at all three hospital campuses - Medical Center, West Campus and The Woodlands. You are also required to complete a consent form. Please see the Flu Consent Form section below for additional details.  

  3. Texas Children’s Pediatrics (TCP) 

    If your child or children receive care through a TCP practice, you will be eligible to receive your flu vaccine free of charge on site during your child’s visit, through December.

    When scheduling the appointment, please inform the scheduler you are a Texas Children’s employee and would like to receive your flu vaccine. On the day of your child’s appointment, please bring your Texas Children’s badge. TCP will provide proof of vaccination, which you are required to submit to Employee Health via our virtual assistant on this page – located bottom right. 

  4. Primary Care Provider (PCP) 
    For Texas Children’s employees enrolled in a Texas Children’s medical plan through Cigna, the flu vaccine is covered at 100% when administered at your PCP’s office. For more information on your medical coverage, sign in to view your benefits here

  5. Retail Pharmacies 
    For Texas Children’s employees enrolled in a Texas Children’s medical plan, the flu vaccine is covered at 100% when administered by an in-network pharmacy. Sign in here or call the number on your Express Scripts member ID card to find a participating pharmacy near you. 

  6. Local Grocers  
    Grocers such as HEB, Randalls or Kroger often offer a convenient option for you to grab your flu shot at the pharmacy counter while completing shopping or other errands. 

How do I submit proof of my flu vaccination?

Did you receive your flu shot at

  • A Texas Children’s flu event or private appointment with Employee Health? There is no action required after you have received your shot. 
  • TCP, your primary provider, or retail location such as CVS or Walgreens? Yes, you must submit proof of your flu vaccination via the online portal (located bottom right). After selecting Current Employee and then your preferred language, click on Submit Proof of Flu Vaccination (if received outside of Texas Children’s to begin the process.

I will receive my flu shot at Texas Children’s. Do I need to complete a consent form?

If you plan to receive your flu vaccination at a Texas Children’s flu event or in a private scheduled flu shot appointment with Employee Health, you must complete the Texas Children’s Flu Vaccination Consent Form, via the online portal (located bottom right).

After selecting Current Employee and then your preferred language, click on Complete Flu Consent Form (if you are receiving your flu shot at Texas Children’s). Once you complete the form, you will receive a confirmation on your screen and via email.

When you check in at a flu event or your private appointment with Employee Health, please show a screenshot or email of your consent confirmation to the Employee Health nurse.

How do I apply for a flu exemption?

If you received an approved medical or religious exemption for last year’s flu vaccine, your exemption status automatically will carry over into this flu season, unless the exemption was based on a temporary medical condition.

Otherwise, you can apply for a medical or religious exemption for flu via the online portal (located bottom right). After selecting Current Employee and then your preferred language, click on Apply for Medical or Religious Exemption. The deadline to do is Mon, Oct. 16.
